3. Matters Arising from Last Meeting
- Charity Registration – Helen to look at documentation that needs to be completed
- Harvest Festivals – money donated to charity collection
- Christmas Cards – all designs now drawn and sent off to printers – proofs should be back within the week. Thanks to Helen and Tracey for organising this.
- Halloween Disco – took £361.86, profit £272.04. Feedback – need to look at better signing in and out system; suggestion of pre-sold tickets may help as could be used as signing in. Decided to charge a cheaper entry fee and then have stalls selling the extras – children like to spend their money and this was missed this year. May consider a small bag of sweets to be included in the entry fee to limit number of sweets consumed. DJ – to ask Richard in future for discos as he has more control over children and is able to organise games etc. PIA to have badges to wear at events – there were a large number of parents at the disco who were not helping and children could not distinguish easily.

Agreed to pay £70.00 hire charge for Children in Need costumes. School normally pay for the hire of the costumes for Children in Need but due to financial constraints were unable to do so this year, so the PIA agreed exceptionally to fund the costume hire
5. Forthcoming Events
Christmas Market – 7th Dec 2.00 pm
PIA coordinator: Helen Greer-Waring; School Coordinator: Rachael Gabbitas
- Lucky programme – could choose a Christmas Card design to go on the front of a programme.
- Helen to ask Emma and Katie for a cake – one to raffle, one for weight competition.
- Refreshments to be served by PIA – tea/coffee/mulled wine & mince pies
- PIA to run a Santa’s Grotto in the Library – to be decorated with Christmas trees, red velvet curtains etc. Working party on 6th Dec to set it up.

Helen to liaise with school re stalls, grotto etc
Jackie to source presents from Santa

Christmas Plays
Volunteer(s) required to be PIA coordinator(s)
Serve refreshments on arrival and afterwards – morning’s: tea/coffee/mince pies; evening: tea/coffee/mulled wine & mince pies
Action Points:
All – volunteers for each play required – see separate list
Christmas Lunch
Helen suggested idea of sponsoring a table – sponsor would provide decorations etc for one table (approx. 10 children), therefore each table decorated differently.
Action Points:
Helen to liaise with school re sponsorship of tables. Please let Helen know if you would like to sponsor a table
All – volunteers required to help serve on the day
Coffee Morning
Jackie to be PIA coordinator
To serve refreshments and sell raffle tickets for the morning.
Helen has offered to make up three hampers to raffle off – Food/Pamper/Children’s – please donate anything that is suitable.

All to source prizes, sell tickets & serve refreshments
